THE ROLE

We are seeking an Executive Assistant to provide all aspects of administrative support to our high functioning Executive. This person should be proactive while working independently and able to perform well while multi-tasking in a thriving, very fast-paced environment.  Must be a team player and experienced in a large global company setting.

WHAT YOU'LL DO:

  • Proactively manage a complex calendar in a fast-paced environment with shifting priorities, ensuring accurate scheduling and time prioritization, across various time zones.
  • Anticipate executive’s needs and make sure all work materials are available for a successful workday (ex. agendas for meetings/calls prepared, approved and printed ahead of time, lunch ordered if applicable, etc.)
  • Arrange travel as required, including transportation, hotel, Visas, reservations and meetings and compile schedules/travel itineraries as needed
  • Provide a bridge for smooth communication between the Executives’ office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff
  • Be the first point of contact for all enquiries, internal and external.
  • Act as a liaison between executive and various business guests, managers, etc.; coordinate in-office accommodation for guests
  • Complete and submit expense reports in a timely manner to ensure no late fees are incurred on the Executive’s Corporate card.
  • Prepare accurate, high-quality presentation materials as needed.
  • Coordinate all logistics for leadership team staff meetings, All-Hands, events, and off-sites, including venue selection and meeting details
  • Work with cross-functional teams and a multitude of leadership levels within the business to execute on projects or events as needed by Executive
  • Review and file invoices, update spreadsheets, and handle payment tracking as well as create purchases orders, process invoices, and track/create basic financial reports for projects
  • Assist with special projects & research to support broader business goals as needed
  • Assist Senior Executive Assistants as required

EXPERIENCE AND BEHAVIOURS:

  • 5+ years of experience providing C Level executive-level support
  • Education to degree level or higher
  • Must have strong typing skills and command of Microsoft Office suite including Outlook, PowerPoint, and Word as well as Adobe.
  • Previous experience with communication tools (Slack, Zoom, MS Teams) preferred
  • Solid organizational, problem-solving and project management skills
  • Ability to independently carry-out multiple tasks from start-to-finish with the aptitude to anticipate and prioritize what needs to be done
  • Great attitude, and calm and collective in a fast-paced environment
  • Ability to take initiative, follow-through on requests until completion, and have a passion for attention to detail
  • Ability to meet tight deadlines and manage multiple projects at once
  • Strong interpersonal skills while understanding the importance of maintaining confidentiality and dealing with high-level executives
