The Role
As an Operations and Administrative Specialist on our USG Industrial Security Team, you will be involved in a range of centralized functions that support this team, including but not limited to document administration, team-wide and individual calendaring, event and in-office coordination, vendor management and targeted project assistance.
Throughout your work, you take initiative, operate with resourcefulness, and complete tasks quickly and effectively. You enjoy helping others and can anticipate additional needs. You are organized, excellent at time management, and extremely detail-oriented. You have excellent written and verbal communication skills and can build trust with other members of the team through reliable and consistent bias towards action. Most importantly, you have a true desire to be helpful and go above and beyond to solve challenges.

Core Responsibilities

  • Execute administrative workflows, processes and procedures, looking for ways to continuously improve and drive efficiency
  • Document processing, including drafting, formatting, finalizing, and submitting
  • Create and maintain trackers for documents and resources
  • Provide targeted and timely support for critical projects
  • Build cross-functional relationships between departments that support USG functions
  • Team scheduling, including customer scheduling and engagement management

What We Value

  • Active U.S. DoD Secret clearance or eligibility and willingness apply for a DoD clearance
  • Willingness and ability to collaborate and take on a variety of tasks to drive team outcomes
  • Demonstrated experience managing high touch stakeholders
  • Experience managing a high volume of projects from beginning to end
  • Ability to write effective communications that tell a complete story to your teammates
  • Ability to quickly learn new skills and technologies such as Jira, Sharepoint, Quip
